  • Identify characteristics of effective AI workflow pilots, including scope, reversibility and measurable success criteria.
  • Apply trigger–action workflow logic to design simple automation chains across tools and systems.

Scenario
In Module 6, you designed a workflow algorithm and identified how work moves through a process.

In this assignment, you will take the next step by designing a small, controlled AI pilot. The goal is not to automate an entire workflow, but to test whether AI can improve a specific step in a measurable and low-risk way.

Focus on creating a pilot that is realistic, reversible, and aligned to a genuine business need.

Instructions

Review the workflow algorithm you developed in Module 6.

Identify one workflow step that could benefit from AI assistance, augmentation, or automation.

Using the questions below, design a pilot that would allow you to test the impact of AI within that workflow.

Your Pilot Design

1. Workflow Opportunity

  • Which workflow step have you selected?
  • What currently makes this step challenging, time-consuming, repetitive, or error-prone?

2. Purpose of the Pilot

  • Why did you choose this workflow step?
  • What business or operational problem are you hoping to improve?

3. Pilot Scope

  • What specific AI capability will be tested?
  • Who will participate in the pilot?
  • How long will the pilot run?

4. Success Criteria

Define 2–3 measurable indicators of success.

Examples may include:

  • Reduced processing time
  • Improved accuracy
  • Faster response times
  • Fewer manual handoffs
  • Improved user or customer satisfaction

Explain why these measures are meaningful for this workflow.

5. Evidence and Feedback

  • How will you collect evidence during the pilot?
  • What data, observations, or feedback will help you determine whether the pilot is successful?

6. Risk and Rollback Plan

  • What could go wrong during the pilot?
  • If the pilot does not deliver the expected results, what fallback or rollback plan will you use?

Conclude with a short reflection:

If this pilot is successful, what would be the next logical step toward broader adoption within your team or organisation?
