Capstone Overview

Before beginning Phase 1, ensure you have taken the time to review Capstone Overview and project scenario and familiarise yourself with the business context, your role within Kanvas & Co., the workflow under consideration, and the CEO's mandate. Understanding the scenario is essential, as all decisions made throughout the capstone should be grounded in the context provided. Once you have reviewed the Capstone Overview and scenario, you are ready to begin the first phase of the project.

Introduction to Phase 1: Discover & Frame

This phase focuses on understanding the current workflow and identifying areas where performance, efficiency, or outcomes are being affected by workflow friction. This is a diagnostic phase designed to build a clear, evidence-based understanding of the existing process before any redesign or automation decisions are made.

The objective is to determine what is not working, who is affected, why the issue matters, and what evidence demonstrates the impact of the problem. You will investigate the workflow as it exists today, gather relevant data and observations, and define a measurable opportunity for improvement.

A strong diagnosis is critical because it establishes the foundation for all subsequent phases. The quality of the insights generated in this phase will directly influence the effectiveness of the workflow redesign, AI agent design and implementation recommendations developed later in the project.

File What it is How to Use it
01_CEO_Mandate_Email.pdf CEO brief outlining the challenge. Read first to understand the business context.
02_Current_State_Process_Map.pdf Existing workflow map. Review and identify workflow friction.
03_Launch_Metrics_Snapshot.xlsx Operational performance data. Use to identify and quantify workflow issues.
04_CX_Complaint_Log.csv Customer complaints and issues. Use to identify customer-facing impacts.

Your Task:

Using the information gathered, complete:

Step 1: The Pain

Explain:

  • What hurts
  • Who is affected
  • What evidence supports the issue

Step 2: The Metrics

Complete two metrics including:

  • Metric name
  • Baseline value
  • Supporting evidence

Step 3: Opportunity Statement

Create one statement explaining:

  • Why workflow automation matters now
  • What the redesign will change
  • How success will be measured

Step 4: Process Map Mark-up

Identify and mark:

  • At least two or three friction points

Only mark areas where redesign would create meaningful improvement.

Self-Check Before Moving on

  • Can you point to a row in the data that supports each friction metric?
  • Is your opportunity statement specific enough that someone could disagree with it?
  • Have you identified the two or three friction points where the redesign will focus β€” not all nine?

When to Complete

Complete this phase alongside Modules 1–3.

Word Limit: 1500
Estimated Duration: 3 Hours

Submission Note

  • Download this capstone project template Download capstone project template
  • Add your responses to phase 1 slides #3 to #7 of the capstone project template.
  • You can add more slides to a task if required.
  • You do not need to submit Phase 1 as a standalone assignment.
  • Submit the completed capstone deck in Week 18.

This is a required assignment and counts towards programme completion.

Here is the rubric that will be used to grade your Phase 1 submission when you submit your completed capstone deck in Week 18.

Maximum points: 20
